Removal of Personal Folders, New "Items Created Via Email" Page, and More

We have completed the removal of personal folders and have just
released the "Items Created Via Email" page. Removing the personal
folders will make it less likely that a team member will
accidentally put files in an area where other team members cannot
access them. The "Items Created Via Email" page allows you to
quickly access the items you created via email and file them in the
correct projects and folders. We hope you like the new
changes!
Personal Folders
The "My Folders" section has been removed. They were originally intended for you to use to organize your personal files and are separate from the "Folders" section of a project workspace. While useful, personal folders have caused a lot of confusions for many TeamWork Live users. Team members frequently put project documents in their personal folders accidentally, which results in their team members and clients not being able to find the documents. If you previously had folders and documents in the "My Folders" section, we created a new project called "Personal" for you and moved your personal folders into that project so you can still access them.
Items Created Via Email
We have completed the "Items Created Via Email" page which can be accessed from the "Admin" menu. The "Items Created Via Email" page is where we put the items that you created via email but haven't placed in a folder or made into a task yet. From the "Items Created Via Email" page, you will be move those created items into a project and folder or convert them into a task.
The "Items Created Via Email" page also has a wizard that you can use to customize the email address that you forward your emails to in order to create customized items. For example, it will generate an email address that you can use to create an item and put it in a specific project and assign it to a specific user. If you use Gmail, or any other email program that supports processing emails based on rules that you define (called filters in Gmail), you will be able to create a rule in your email program so that new emails from a specific client gets forwarded to an email address. We will convert the email into an item and process it according to the customizations that you specified in the wizard. Basically, the wizard will make it easier for you to create custom email addresses that you can use to integrate your business workflow into TeamWork Live.

Upcoming Changes: Removal of Personal Folders and Addition of Items Created Via Email Page

We want to alert you to an upcoming change that we are making to
TeamWork Live: we will be getting rid of personal folders and
adding an items created via email page.
Personal Folders
Your personal folders can be viewed by clicking on the "My Folders" link from your dashboard. They were originally intended for you to use to organize your personal files and are separate from the "Folders" section of a project workspace. While useful, personal folders have caused a lot of confusions for many TeamWork Live users. Team members frequently put project documents in their personal folders accidentally and are then confused when their team members and clients can't find them.
After careful consideration, we have decided to get rid of personal folders as we believe that they cause more problems than they provide benefits. Don't worry, if you are currently using personal folders, you will not lose them: we will be moving all your personal folders into a project workspace called "Personal" that can be accessed from your "Project Workspaces" menu. This change will also make all the other dashboard sections consistent: they will now all show your items across all your projects (i.e., your "My Calendar" will show all your events across all your projects, your "My Milestones" will show all your milestones across all of your projects, and so on).

One of the reasons that we have retained personal folders for so long was because the items that you create via email gets placed in your personal folders. We are adding a new section called "Items Created Via Email" that will now serve that purpose. The Items Created Via Email page will show you all the items that you have created via email and allow you to quickly move them to a project and put them in one of your project folders. You can also turn an item into a task and assign it to a team member from the page. Preview Release: Project Chat

After many years of work, we are finally ready to put the "Live" in
TeamWork Live. We are happy to announce the preview release of the
project chat feature. This feature will allow you to chat and share
files with your team members and clients in real-time. There is no
need to coordinate which instant messaging tool everyone will use
in order to chat with each other. You and your project members
simply need to go the chat section of your project
workspace.
To enable the project chat feature, simply create a new project or edit an existing project and check the "Chat" box to enable the chat feature for the project. The chat feature is currently an in beta and there are likely to be some bugs. Please let us know if you run into any problems by emailing us at support@collectivesoft.com.

Send Message Via Email, Revamped Help Pages With Search, and More

We have added a few new features this past month that we would like
to introduce to you.
Send Message Via Email
You can now send new messages via email to your projects. To do so, click on the "Send message via email" button in the "Messages" section of a project workspace. You will be shown an email address that you can use to send messages via email to that project. You must send your email from the email account that you used to sign up with TeamWork Live. Depending upon how the project administrator has configured the settings, the new email will either be sent to the project administrator only or to all team members in the project.
Revamped Help Pages With Search
We have updated and revamped the help pages so that it is easier to navigate. In addition, we have added support for searching the help pages so you can easily get your questions answered without having to manually search the help pages yourself. By default, the search box searches your documents, but if you click on the triangle on the right side of the search box, you can select to search the help documentation.
My Contacts
Your "My Contacts" personal section now shows all your contacts from across all your projects. You no longer have to visit the contacts section of each project separately to access your project contacts.
Virtual Assistants
We will be adding some virtual assistant-specific features to TeamWork Live in the next few months. If you are a virtual assistant, you can learn more about how you can use TeamWork Live as virtual assistant software.

Enhanced File Uploader and Microsoft Project Import Tool

We are happy to announced the features release for May 2011.
The main features of this release are the enhanced Flash-based file
uploader and the Microsoft Project import tool.
Enhanced File Uploader
We have added support for an enhanced file uploader that
allows you to upload files without having to reload the current
page. This allows for a more responsive user experience as it
allows us to refresh only the parts of the page that have changed.
The enhanced uploader allows you to upload multiple files at once
(for items that support multiple attachments) and includes a
progress bar for each file being uploaded so you can quickly see
how much of your files have been uploaded. The enhanced uploader
uses Flash and will revert to the original non-Flash file uploader
if you do not have Flash installed on your web browser.
Microsoft Project Import
We have heard from many of you that you prefer to plan your
projects in Microsoft Project and then run them from TeamWork Live.
Starting today, that process has gotten a whole lot easier as you
can now import your Microsoft Project into TeamWork Live using our
new import tool. We support importing Microsoft Project files in
both native (MPP) and XML formats. To import a project, click on
the "Projects" link from the "Admin" menu and then click on the
"Import project" link on the right side of the page. You will be
asked to select the Microsoft Project file you want to upload and
you will then have the opportunity to map your Microsoft Project
resources to your TeamWork Live users. The Microsoft Project import
tool allows you to take advantage of the power of Microsoft
Project for planning and the collaboration and transparency
features of TeamWork Live for running your projects.
Miscellaneous
We have added an additional priority option, critical, that
you can use when creating milestones and tasks.

Google Docs Integration, Site Redesign, and More

We would like to apologize for the long delay since our last blog
entry but have lots of exciting news to report. The main changes
from the last few months are our integration with Google Docs
and our site redesign.
Google Docs Integration
If you use Google Docs, you will be happy to know that you can now attach your Google Docs files to the items you create in TeamWork Live (i.e., milestones, tasks, documents, comments, and messages) and share them with your team members and clients just like regular files. In addition, with our integration with the Google Cloud Connect plugin, you can open Microsoft Word, Excel, and PowerPoint files in Microsoft Office and sync your changes back to TeamWork Live without having to reupload the file. Please take a look at our Google Docs Integration page for more information about getting started with this exciting new feature.
Site Redesign
We have completely redesigned the TeamWork Live website. Not only is the new site easier on the eyes, but we have added additional support functionalities to help us better serve you. Our new support page allows us to better track your support requests and get back to you more quickly. We have added a feature requests section that allows you to request new features, vote on your favorite features, and track the status of existing feature requests. Your suggestions and votes will help guide our development. We also added an improved bug tracker that will allow you to quickly see any outstanding bugs. We hope you like the new design.
Membership Plans
We have now added a Max Plan which gives you 999 users for $249/month. The new plan allows you to use TeamWork Live knowing that it will still be reasonably priced even when you grow to a large number of users.
Miscellaenous Improvements

API Improvements

Platform Improvements
We spent a significant amount of time improving software platform on which TeamWork Live is built. While these changes are not immediately noticeable, you will be able to see its effect over the next several months as we will be improving on the existing features and adding many new ones. For those of you who are interested, the changes we made our platform include:
1. We switched our JavaScript library from Prototype to JQuery. We have found JQuery to be much better supported and to have many more available plugins. The switch should allow us to add UI functionality more quickly that before.
2. We have refactored our AJAX calls so that they return JSON responses. This makes it easier for our developers to add new functionalities.
Mobile Update
We had begun work on an iPhone application but we have now put it on hold because of changes in Apple's subscription policy. The main issue is that Apple requires companies that offer subscription services to use Apple's new payment system. Apple takes a 30% cut from the subscriptions, which is fine except that they require that subscriptions be priced the same whether the subscriber comes from Apple or not. As a result, it will mean that our regular subscribers would be subsidizing the cost for subscribers that come through Apple. Until Apple changes this rule, we will be exploring creating a mobile web version instead. The mobile version will be able to run on any phone with a browser including iPhone and Android.

Message Replies to Sender Only, Email Notification Enhancements, and Milestones Enhancements

We have been spending most of our time making a lot of infrastructure changes to our site in preparation for adding mobile support so we have been mostly quiet on the features front. We have managed to add a few tweaks since our last blog entry, however, that we want to make you aware of.
Message Replies Sent to Sender Only
Message Replies Sent to Sender Only
We have enhanced the messaging feature so that when you send messages to multiple recipients or all project members, you now have the option of specifying whether replies are sent to everyone who received the message or to yourself only. If replies are sent to yourself only, the recipients will not be able to view the replies from the other recipients nor will they be able to see the list of other recipients who received the message.
Email Notifications
1. We have made it even easier to fine tune the email notifications that you receive so that you only receive notifications for the activities that are important to you. At the bottom of each notification email that you receive, you will now see a link that you can click on to deactivate future email notifications of the same activity type. Previously, if you wanted to stop further email notifications of the same activity type, you had to sign in and go to your preferences, figure out which notification rule needed to be disabled, and then disable the rule manually.
2. The comment feature has been modified to allow you to deselect the users that are automatically being notified of a new comment. If the comment is being added when a task is completed or reopened, there will be some users that you won't be able to deselect (because it is based on the recipient's notification preference), but they should still not receive too many of those types of notifications since closing/reopening tasks occur much more infrequently than adding a comment. You can also deselect users that would automatically be notified when editing a milestone, task, etc.
3. Email notifications for new messages now include the project the message is for and the list of recipients who received the message.

1. You can now add tasks to milestones from the milestones page. To do so, expand the list of tasks for a milestone and click on the "Add task" link.

Group Projects By Clients, Daily Status Report, and Recent Projects

It's only been two short weeks since our last announcement and we
already have some exciting new features that we would like to share
with you.
Group Projects By Clients
We have finally finished adding support for grouping projects by client companies. This has been our most-requested feature so we are happy to finally make it available to everyone. You can now create client companies and add client users to those companies by clicking on the "Clients" link from the "Admin" menu. You can then associate the client companies with your projects (either when creating a client company or when creating a project). Doing so will result in the projects in your project workspaces menu to be grouped by the client company, making it easier for you to see which of your projects are for which clients. In addition, when you add new client users to a client company, the client user will automatically be given access to all the projects associated with that client company. The same is also true when you remove a client user from a client company.
If you only manage internal projects, you can still use the client grouping features to group related projects. For example, you can create a sales team as a client company and link all your sales-related projects to the company. This will result in all your sales-related projects being grouped together for easier access.
Daily Status Report
The daily email digest has been improved and is now called the daily status report. Similar to your dashboard, the daily status report allows you to see, at a glance, what has recently occurred in your projects and what you have coming up. The report now includes all your upcoming, overdue, and high priority milestones, tasks, and events in addition to the list of recent activities from all of your projects. The report will make it even easier for you and your project members to stay on top of your projects.
Recent Projects
If you are managing more than ten projects, the last five projects that you accessed will now be listed at the top of the project workspaces menu under the "RECENT PROJECTS" heading. This allows you to quickly switch between the projects that you are currently working on without having to search for them in the projects list.

API, Data Export, Retainers Report, Customizations, and More

It's been over three months since our last blog post so we have a
lot of news to share with you. The most exciting news is that
the long-awaited API is finally available for your use. The
API took a lot of our development resources and, now that it has
been completed, we look forward to adding many of your other
frequently requested features in the next few weeks (including the
ability to group your projects by client companies).
Application Programming Interface (API)
We are happy to finally announce the release of the TeamWork Live API. You can use the API to integrate TeamWork Live with third-party applications, dashboard widgets, or your own custom software. The API has been a long time coming and we appreciate your patience as it took us much longer to develop it than we initially anticipated, but we wanted to get it right. We are excited to see all the great applications that you develop using the API. You can get more information on using the API by clicking the "API" link from the "Admin" menu. The API is currently in BETA so please let us know if you run into any issues.
Data Export
One of the first features that we developed using the new API is a data export feature for your projects. You can now export all the data from individual projects for backup purposes or for import into another application. We currently support exporting project data in JSON or XML format. The data export feature can be accessed by clicking the "Data Backup/Export" link from the "Admin" menu.
Retainers Report
We have added a retainers report that team members can now view to see the retainer hours that have been budgeted and accrued for their projects. The report supplements the "Retainers" admin page, which allows administrators to view and override the default retainer hours for a project. The retainers report is only visible if you have projects with retainers-type budgeting.
Customizations
1. It is now possible to select the sections of a project workspace that you want to be available to team members and clients. This allows you to hide sections that you don't plan on using to make the site easier to navigate. You can customize the available sections for each project when creating or editing it. Additionally, you can specify the default sections which should be available from the company preferences.
2. If you do not use the budgeting and time tracking features, it is now possible to disable them from your company preferences. This makes the site cleaner and easier to use for your team members and clients.
Branding
We have increased the maximum size of the logo that you can upload from 24x to 36px to make it easier to see. If you have previously uploaded a logo, you will need to upload the logo again to take advantage of the larger size.
Company Management
We have improved the user management feature in the company management page. You can now add a team member to or remove a team member from multiple projects at once. Previously, you could add a team member to all company projects at once or remove the team member from all company projects but you could not select a subset of projects to add a team member to or remove a team member from.
Messaging
You can now send a message to all project members at once by selecting "All project members" from the "To" option of the message window.
Milestones/Tasks
For milestones or tasks assigned to multiple users, it is now possible for project administrators to select which users to mark the milestone or task completed for. Similarly, project administrators are now also able to specify which users to reopen a task or milestone for.
Application Programming Interface (API)
We are happy to finally announce the release of the TeamWork Live API. You can use the API to integrate TeamWork Live with third-party applications, dashboard widgets, or your own custom software. The API has been a long time coming and we appreciate your patience as it took us much longer to develop it than we initially anticipated, but we wanted to get it right. We are excited to see all the great applications that you develop using the API. You can get more information on using the API by clicking the "API" link from the "Admin" menu. The API is currently in BETA so please let us know if you run into any issues.
Data Export
One of the first features that we developed using the new API is a data export feature for your projects. You can now export all the data from individual projects for backup purposes or for import into another application. We currently support exporting project data in JSON or XML format. The data export feature can be accessed by clicking the "Data Backup/Export" link from the "Admin" menu.
Retainers Report
We have added a retainers report that team members can now view to see the retainer hours that have been budgeted and accrued for their projects. The report supplements the "Retainers" admin page, which allows administrators to view and override the default retainer hours for a project. The retainers report is only visible if you have projects with retainers-type budgeting.
Customizations
1. It is now possible to select the sections of a project workspace that you want to be available to team members and clients. This allows you to hide sections that you don't plan on using to make the site easier to navigate. You can customize the available sections for each project when creating or editing it. Additionally, you can specify the default sections which should be available from the company preferences.
2. If you do not use the budgeting and time tracking features, it is now possible to disable them from your company preferences. This makes the site cleaner and easier to use for your team members and clients.
Branding
We have increased the maximum size of the logo that you can upload from 24x to 36px to make it easier to see. If you have previously uploaded a logo, you will need to upload the logo again to take advantage of the larger size.
Company Management
We have improved the user management feature in the company management page. You can now add a team member to or remove a team member from multiple projects at once. Previously, you could add a team member to all company projects at once or remove the team member from all company projects but you could not select a subset of projects to add a team member to or remove a team member from.
Messaging
You can now send a message to all project members at once by selecting "All project members" from the "To" option of the message window.
