Online Documents

Online documentss are shareable text documents that can have many types of information in them. In addition to formatted text, you can add files, tables, structured information (such as a link to another site, an address, a phone number, a start date, etc.), and comments to online documentss.

Online documents are meant to be worked on collaboratively. You can save multiple versions of a document, compare different versions, and revert to an older version if necessary. Information related to a document (such as a message sent about the document) are grouped with the document for easy reference.

Milestones/Tasks

You can make an item a task and assign in to a user. Tasks can be assigned to yourself or to a team member. Making an item a task allows you to give it a due date and track its completion status. Tasks are automatically added to the tasks list of the person assigned the task. Tasks with due dates are automatically added to the appropriate calendars.

Item Summary

The item summary provides a summary view of an item. You can perform a subset of the actions available in the page detail from the item summary (such as marking a task as completed and bookmarking it).

  1. When you move your cursor over the actions icon, a drop-down list will appear with the actions you can perform on the item. See the detail page for more information on the available actions.
  2. An icon representing the permission settings for the item is shown here. This icon is not visible if the item is private. See the icons help for more information.
  3. The lock icon shows the privacy setting for the item. If you are the creator of the item, you can click on the lock icon to toggle whether the item is private
  4. Click on the bookmark icon to bookmark the item. You will be alerted by email whenever a bookmarked item is modified or commented on.
  5. Click on the item's name to see the detail page for the item. When you move your mouse cursor over the link, a [rename] link will appear.


    Click the [rename] link to do an in-place edit of the item's name.
  6. If the item has an address, a link to Google Maps will be included here.
  7. If an item has a start date or a due date, a link to view the item in the calendar will be included here.
  8. If the item is a task, the person assigned the task will be shown here. Clicking on the [mark completed] link will mark the task as being completed. Only the creator of the item or the person assigned to the task can mark the item as completed. You can reopen a completed task by clicking the [reopen] link that is visible for completed tasks.
  9. If you have entered a phone number for the item, the phone number will be shown here. If you have entered your Skype name into your account information, then you will be able to initiate a SkypeOut call to the number by clicking on the included [call] link.
  10. This is the file upload box for the item summary.
